What needs to be done in a R/C Sailing Club? divider

I'm often asked, "What do I have to do?" By folks considering forming an AMYA Club.

Here's some suggested duties that should be performed to keep a Club actively involved.

George Emmert, Former Commodore of the O'Aces Model Yacht Club of Las Vegas Nevada sent the following in a letter to his club members upon his voluntary retirement from the post of Commodore.

The new Commodore will have to appoint personnel to fill the following openings /positions, as well as attend to routine duties and obligations, some of which I have enumerated, below.

1. Newsletter Editor, and distribution of same, email, US Postage.

2. Keep records of and make Channel assignments on a best-effort basis.

3. Process membership applications, update mailing and Email lists, boat type(s) and channels assignments.

4. Keep Secretary/Treasurer apprised of all actions as well as other board members.

5. Appoint a Liaison Officer to stay in contact with the AMYA and keep the AMYA apprised of activities, as required

6. Appoint a replacement Region 6 AMYA contributing editor, reporting to Class Secretary(ies) of class(es) club is involved with.

7. Maintain communications with the Victoria Class Secretary, Hal Slentz-Whalen (This was their club's primary class of yacht, you might consider same with any class your club sails)

8. Keep sufficient records of communications for entry into the Club's files, maintained by the Sec/Treasurer.

9. Become custodian of the AMYA Charter Document

10. Maintain audio tapes of meetings, as required, or direct someone to assume that duty.

11. Schedule Regattas (special) monthly, recurring, or reschedule, as required, giving all members maximum notification time of same. Notify AMYA Regatta Coordinator of same.

12. Establish a working committee to handle any upcoming Regatta's.

13. Establish working communications with club webmaster and coordinator for club's hosting of any major regatta's

14. Handle membership inquiries for club.

15. Handle membership inquiries and application procedures for the American Model Yachting Association (AMYA).

16. Assist in members processing applications for Class Association Memberships.

17. Maintain a list of Model Suppliers and distribute same when requested from members or interested persons.

18. Handle all monetary matters - spending of club funds - with advice and consent of the Board of Directors. Club Treasurer may be doing this.

19. Solicit ideas for club improvements and pass along to appropriate members for action

20. Insure that AMYA is notified of Regattas - National Championship Regattas and other events of interest.

21. Appoint a member to handle the regatta inquiries with that persons name, address, email address and phone number to be listed in the AMYA Magazine

22. Coordinate the purchasing of medals, ribbons, or other types of awards to recognize members' participation in, and presentations to, the top three finishers in monthly regattas, special event races, and other awards that may be established.

23. Establish a Committee to set up the annual Club Championship Regatta, along with the club picnic, and determine funding, food, beverages, and trophy expense.

24. Consider the possibility of ordering logo-wear T-Shirts and caps...funding for purchasing, and resale to members to recover costs.

25. Maintain a copy of the AMYA Official Starting tape(s) and provide same, when needed

26. Assist in the selection of Buoys (Course Markers), funding and placement of, as required.

27. Establish communications with AMYA Web Master.

28. Establish communications with other AMYA officials, Regional  Director,  and others, as required.

29. Establish policy, based on precedent and/or your best effort to solve any problem of any nature that may be considered a Commodore's Duty.

30. Maintain an open line of communications with AMYA, National Class Secretaries, and especially, the Club's membership.

The above list is not all-inclusive. At best, it is an overview, general information that may assist the Commodore as they assume duties. There is no job description... However, the Bylaws contain important information regarding duties of all officers of the club.

Most Respectfully Submitted, /S/ George F. Emmert
